This policy explains what information Gnosis IQ collects when you use our website and platform, how we use it, and the choices you have. Much of the data we handle consists of student education records that we process on behalf of school districts; we treat that data with particular care and in line with our agreements and applicable law. For specifics on how we handle education records, see our FERPA commitments.
Information we collect
We collect a limited set of information, depending on how you interact with us:
- Account and contact details — such as name, email, phone number, role, and school or district, provided when you sign up, request a demo, or contact us.
- Education records — roster, gradebook, attendance, and student well-being information that a district chooses to share with us so the platform can function.
- Usage data — technical details generated automatically, such as IP address, device and browser type, pages viewed, and timestamps.
- Cookies — small files stored on your device that keep you signed in and remember preferences.
How we use information
We use the information we collect to:
- Provide, maintain, and secure the Gnosis IQ platform.
- Generate the insights and outcome predictions the service is designed to deliver.
- Respond to requests and provide customer support.
- Understand how the service is used so we can improve it.
- Detect, prevent, and address technical or security issues.
- Send you relevant updates about the service (you can opt out of non-essential messages at any time).
Student data and education records
When a district shares student information with us, that district remains the owner of the data, and Gnosis IQ acts as its service provider. The district decides what information to send and who may access it within the platform. We use education records only to provide and improve the service for that district — never to build advertising profiles, and we never sell student data. We return or delete a district's education records at its written request, subject to limited legal and operational exceptions.
Artificial intelligence and the Gnosis Assistant
Most of the Gnosis IQ platform — including class rostering and our outcome predictions — runs entirely on our own algorithms. No large language model or third-party AI service is involved in those features, and the education records they use are never sent outside our environment for AI processing.
The one exception is the optional Gnosis Assistant, an in-dashboard feature that lets a signed-in staff member ask plain-language questions about the data they are already authorized to see. To generate an answer, the Assistant sends a summary of that dashboard to a large language model — Anthropic's Claude, operated by Amazon Web Services through Amazon Bedrock within data centers in the United States. We have designed this data flow to protect student privacy:
- Names are de-identified — student and teacher names are replaced with neutral labels (for example, “Student 12”) before the summary leaves our systems; real names are restored only in the staff member's own browser.
- Check-in note text is never sent — the free-text a student writes in a check-in is not transmitted to the AI; only a general sentiment label, computed by our own software, is included.
- No training, no retention, no provider access — under our agreement with AWS, data sent to Amazon Bedrock is not used to train the model, is not retained after the response, and is not shared with the model provider.
- Role-scoped and optional — the Assistant only ever sees what the staff member could already see, it is enabled per district, and we keep a de-identified record of Assistant activity for a limited period for security and accountability.
Cookies and analytics
We use session, preference, and security cookies to operate the platform, and we may use privacy-respecting analytics to understand aggregate usage and improve the product. You can set your browser to refuse cookies, though some features may not work as a result.
How we share information
We do not sell personal information. We share it only in these limited circumstances:
- Service providers — trusted vendors who help us operate the platform under contracts that restrict their use of the data to that purpose.
- At a district's direction — where a customer asks us to share their data with another system or party.
- Legal requirements — where we are required to comply with the law, or to protect the rights, safety, and security of our users, the public, or Gnosis IQ.
- Business transfers — if Gnosis IQ is involved in a merger, acquisition, or sale of assets, with notice before your information becomes subject to a different policy.
Data retention
We keep information only as long as needed to provide the service, meet our agreements with districts, and comply with legal obligations. Usage data is generally kept for shorter periods and used in aggregate. We delete or return data when it is no longer needed or upon a valid request.
Security
We use reasonable administrative, technical, and physical safeguards to protect your information, and we limit access to those who need it to do their jobs. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work continually to protect the data entrusted to us.
Your choices and rights
You may request to access, correct, or delete personal information we hold about you, and you can update many details directly in your account settings. We may need to verify your identity before acting on a request. If your information was provided to us by a school or district, we may direct your request to that organization, which controls the data.
Children's privacy
Gnosis IQ is used in K-12 settings. Where students use the platform, their information is provided and overseen by their school or district under applicable laws such as FERPA. We do not knowingly collect personal information directly from children outside of that school relationship; if you believe a child has provided us information improperly, please contact us and we will address it.
Browser extension
The Gnosis IQ browser extension lets a signed-in student record a one-click journal check-in to their school's Gnosis IQ account. To do this, it receives the student's account identity (such as their name and email) when they sign in, and it transmits the check-in they choose to submit. The only information it stores on the student's device is their sign-in session and their most recent check-in acknowledgment.
Gnosis IQ's collection, use, and transfer of information received through the browser extension adheres to the Chrome Web Store User Data Policy, including its Limited Use requirements. Specifically:
- We use this information only to provide the extension's single purpose — recording the student's check-in to their school account.
- We do not sell this information, and we do not transfer it to others except to operate the service, for security purposes, or to comply with applicable law.
- We do not use this information for advertising, and we never use it to build advertising profiles.
- We do not allow humans to read this information except with the user's or district's consent, for security purposes, to comply with applicable law, or as part of aggregated and anonymized operations.
Changes to this policy
We may update this policy from time to time. When we do, we will post the revised version here and update the date above. We encourage you to review it periodically.
